This document covers information that we collect about you, how it is stored and how it will be used.

At the Pet Emergency Hospital, we are committed to processing information about our customers in ways that comply with our legal obligations as well as being clear with our customers about what we do with their information.

Some of the key points of our privacy statement are:

  • We do not sell client or pet data to third parties.
  • We do use pet data (including breed, age, sex, weight, symptoms) as part of ongoing teaching and research.
  • We do use client data for internal reporting to help us improve the client’s experience at the Pet Emergency Hospital.

Client Information that we collect:

  • Client name / Trading name
  • Postal Address
  • Email Address
  • Contact telephone number
  • Insurance Information including policy number
  • Pet Information (species, breed, age, sex, weight)
  • Credit/Debit Card information in certain circumstances

How we use the information we collect:

  • To contact clients to update them on their pet’s well being
  • To update clients on test results
  • To arrange repeat visits or ongoing treatment
  • To process claims for payment for treatment
  • To invoice clients for treatments and collection of outstanding accounts
  • To communicate with clients and to respond to any enquiries (regarding insurance claims (from both client and insurance provider), from general practice (sending histories to facilitate further treatment)
  • To monitor the quality of services at the Pet Emergency Hospital
  • To investigate complaints that may be made
  • To provide evidence in any dispute that may arise or that may be anticipated
  • To facilitate debt collection, fraud detection and prevention and risk management purposes
  • To protect the rights, property and/or safety of the Pet Emergency Hospital and its personnel and others
  • Pet information is used for statistical analysis, internal reporting and research purposes.

How we share client information:

 When we use client information for the purposes specified above we may share information with:

  • Licensed debt collection agencies and lawyers if seek to recover debts due to us.
  • Our accounts, auditors, lawyers or similar advisers when we ask them to provide us with professional advice.
  • Any Government Department, public body or third party where we believe in good faith that the law requires this: in the interest of public health and safety and in order to protect the rights/property/safety of The Pet Emergency Hospital, its employees and others.
  • Any thirds parties if authorised by you to do so, e.g. Insurance companies.

How long do we keep information:

We retain information for no longer than is necessary for the purposes for which it is collected. When determining the relevant periods, we will take into account factors including:

  • Legal obligation(s) under applicable law to retain data for certain period of time
  • Statute of limitations under applicable law(s)
  • Disputes or potential disputes
  • Guidelines issued by relevant data protection authorities

If information is not required for any of the above it will be securely erased.

Security:

The Pet Emergency Hospital uses reasonable security methods to protect the information that we process. However, it is not guaranteed that any transmission over the internet can be deemed secure.

Clients Rights:

  • The right to be informed

You have the right to be provided with clear, transparent and easily understandable information about how we use your information and your rights. This is the purpose of providing you with information in this privacy statement.

  • The right to access

You have the right to request a copy of your information (if we’re processing it) and other certain information (similar to that provided in this statement) about how we use information. However, we can refuse to provide information where to do so may reveal information about another person or would negatively impact another person’s rights.

This is to ensure that you are aware and can check that the Pet Emergency Hospital is using your information in accordance with data protection law.

  • The right to rectification

You can ask us to take reasonable measures to correct your information if it is inaccurate or incomplete, e.g.  if we have incorrect details about your business.

  • The right to erasure

This can be called the right to be forgotten and this enables you to request deletion or removal of your information where there is no compelling reason for us to keep It or it is unlawful. The Pet Emergency Hospital can keep information that is requested to be erased in certain exceptions e.g. where we need the information as part of a legal claim.

  • The right to restrict processing

You have the right to ‘block’ or suppress further use of your information when we are assessing a request for rectification or as an alternative to erasure. When processing is restricted, we can still store your information but may not use it further. We keep lists of people who have asked for their information to be “blocked” to make sure the restriction is respected in future.

  • The right to data portability

You have the right to obtain and reuse certain information for your own purposes across different organisations. This enables you to move, copy or transfer your information easily between our IT systems and theirs (or directly to yourself) safely and securely without affecting its usability. This will only apply to information that you have provided to us that we are processing with your consent or to perform a contract which you are a party to (e.g. to pay a bill) which is being processed by automated means.

  • The right to object

You have the right to object to certain types of processing, on grounds relating to your particular situation, at any time insofar as that processing takes place for the purpose of legitimate interests pursued by the Pet Emergency Hospital or third party. The Pet Emergency Hospital is allowed to continue processing the information if we can demonstrate a “compelling legitimate grounds for the processing which override interests, rights and freedom” or if the Pet Emergency Hospital needs this information for the establishment, exercise or defense of legal claims.

You have the right not to be subject to decisions which significantly affect you based solely on automated processing, subject to certain expectations. You have the right to human intervention and to voice your concern in this case. This will ensure our decision is reviewed.

Updates:

We review or privacy practices from time to time.

We reserve the right to modify this policy effective seven (7) days after the posting of the revised Privacy Statement.

Please provide as much information as possible to help us identify the information you are requesting, the action you are wanting us to take and why you believe such action should be taken.

Before assessing your request, we may contact you to request additional information in order to identify you. If you cannot provide the requested information and as a result we are not in a position to identify you, we may refuse your request.

We will generally respond to your request within one month

We can extend this period by two months if it is deemed necessary taking into account the complexity and number of requests you have submitted.
